As a Facilities Maintenance Planner Schedular, you will be responsible for daily support activities, including:
Effective execution of all maintenance work control processes. Performing in a lead capacity to develop a safe, effective, and efficient work control plan through proper planning and scheduling of work for various trades including electricians, instrumentation / controls, BMS, HVAC / Boiler, Plumbers, and other trade classifications. The Facilities Maintenance Planner/Scheduler is expected to monitor the technical performance of the CMMS or other work order system and make any necessary adjustments to ensure that best-in class standardized usage practices are followed. The nature of the work is such that considerable independence is allowed in directing the work through the system. Performance is evaluated through observation, conferences, reports, and/or results obtained.
As the Facilities Maintenance Planner Scheduler, you will serve as a direct liaison between the scientific community, vendors, and the maintenance team, leveraging demonstrated interpersonal skills to implement creative, inclusive, and cost-effective solutions to repair and maintain facilities equipment. Within Amentum, our group provides facilities and production maintenance services for our clients’ industrial, Research & Development, distribution, pharmaceutical, and commercial sites worldwide. In depth knowledge of Facilities operations and maintenance is necessary for this role.
As the Facilities Planner Scheduler, your daily duties for this role will include:
Maintain professional and customer-oriented relationships with team members, internal and external customers, and service providers, and building occupants.
Performs in a lead capacity over maintenance functions in a pharmaceutical environment.
Perform PM optimization utilizing CMMS with assistance from the site’s reliability engineer
Provide logistical coordination with other facility partners, such as lab personnel, science lines, maintenance teams, purchasing, security as well as other facilities customers.
Partner with business customers to reconcile vendor conflicts, coordinating corrective actions until resolution is complete.
Maintain proficiency in CMMS work order system to update equipment history and access material inventory management system, schedule, plan and communicate effectively daily activities of facilities work.
Maintains and monitors backlog for adherence to industry standards.
Prioritizes work through a defined protocol of process criticality and equipment redundancy.
Reviews work requests/orders for accuracy and clarity.
Reviews all planned work from assigned area and determines validity and accuracy of information and engages the appropriate resources to set a preliminary priority.
Schedule work with Research and Service departments, print appropriate work orders when scheduled, track and report on the completion of work.
Estimate work order completion times and compare to actual performance.
Verifies all material, information, tools and labor are available prior to scheduling.
Participates in redundancy and contingency planning for emergency situations.
Uses critical path methods and other planning methods to coordinate and optimizes work flow;
Estimates and defines requirements for total labor, materials, special tools, equipment, and skill sets, for all work including complex projects such as plant shutdown, plant improvement projects, etc.
Maintains communication with facilities maintenance teams and customer to ensure work schedules are maintained.
Plans and schedules workflow for each trade and operation according to previously established customer schedules
Review and approve field changes as needed, making routine field visits to provide inspections as to timeliness and quality of work.
Assist the Facilities Lead with planning on multiple projects.
Comply with all company policies and procedures and adhere to company standards.
Perform other job-related duties and special projects as requested.

Support safety program as necessary.
Perform other duties as assigned by Manager or Supervisor.

Communication
Knowledge of Microsoft Windows, Word, Excel, Outlook, and SharePoint
Ability to communicate clearly via phone.

Excellent oral and written communications
Excellent interpersonal skills, i.e., listening to customer needs, articulating path forward and giving solutions that provide value to the customer, etc.
Accurately document electronic and paper cataloging system to provide information to customer or regulatory personnel.
Strive for quick complaint resolution; to resolve problems on the first call and avoid escalation of issues through operational knowledge.
Minimum Requirements
High school diploma or demonstrated equivalent.
Three years of experience in business administration, operations support, or a related business support role in a facility management, maintenance planning, engineering, or construction environment.
Demonstrated experience in a high visibility customer service role with multiple customer streams.
Ability to obtain a security access badge at our client’s location.
Strong written and oral communication skills and ability to work in a team environment.
Ability to work overtime, holidays, various shifts, weekends, and alternative work schedules.
Ability to read and understand information contained in a variety of documents or displayed on a computer screen. Demonstrated fluency in computer use including the full Microsoft product line.
Ability to obtain an appropriate driver's license issued by the State Department of Motor Vehicles, as requested.
Must be able to obtain and maintain facility credentials/authorization. Note: US Citizenship or Permanent Residency is required for facility credentials/authorization at this work location.

Ability to differentiate colors pertaining to wire color-coding
Wear steel toe safety shoes, safety glasses, gloves, hard hats, and other Personal Protective Equipment as needed.
Cope with demands (stressors) that are associated with the job and/or the work environment.
Preferred Requirements
Technical degree preferred.
Demonstrated experience coordinating vendors and subcontractors.
Working knowledge of a CMMS (computerized maintenance management system) such as EAMS, MAXIMO, or related database systems.
Ability to manage several projects simultaneously.
Strong proficiency with Microsoft (MS) Office suite, particularly MS Excel, and Microsoft Visio.
Experience working in a GMP or similar regulated environment such as hospitals, biomedical or pharmaceutical campuses.
Ability to read and understand repair manuals, specifications, drawings, and schematic diagrams.
Experience working with heavy industrial or manufacturing plant steam systems, centrifugal chillers, air handling units, turbines, boilers, cooling towers, air compressors, air dryers, heat exchangers, exhaust systems, pneumatic controls, and building automation control systems.
Experience interpreting a variety of instructions furnished in written, oral, diagram, or schedule form.
Excellent verbal and written communication skills.
